POPIA Act & Privacy Notice

This notice explains what personal information MatzoTech collects, why it is needed, who may receive it, and how you can exercise your rights under South Africa’s Protection of Personal Information Act 4 of 2013 (POPIA).

Notice before collection

We provide this notice before or when information is collected through the website. Supplying information is voluntary unless it is marked as required. If required order, payment, delivery, account, warranty, repair, or support information is not supplied, we may be unable to provide that service.

Responsible party and Information Officer

Matzotech (Pty) Ltd is the responsible party for personal information processed through this website and its related retail, repair, installation, and support services. The head of the private body is the Information Officer by operation of PAIA and POPIA, or may act through a duly authorised delegate.

Personal information we collect

Depending on how you interact with MatzoTech, we may collect the following categories directly from you, automatically from your device, or from service providers involved in your request or transaction:

  • Identity and contactName, email address, telephone number, username, delivery and billing addresses, and company details.
  • Orders and servicesProducts, quotes, orders, invoices, delivery, collections, returns, warranties, repairs, installations, and support history.
  • Payment recordsPayment status, transaction references, refund information, and limited billing details. Payment providers process full card or account credentials under their own controls.
  • CommunicationsContact forms, email, telephone, WhatsApp, live chat, reviews, support messages, and preferences for how we should reply.
  • Account and securityLogin, consent, communication-preference, fraud-prevention, and security-event records.
  • Device and website useIP address, browser, device, referring page, viewed pages, interactions, and cookie identifiers, subject to your privacy choice.

Please do not submit special personal information or information about children unless MatzoTech specifically requests it for a lawful purpose and explains the applicable safeguards.

Why we process it

POPIA permits processing on more than one lawful justification. MatzoTech uses only the justification appropriate to the purpose:

Information collected for one purpose will not be used for an incompatible further purpose unless POPIA permits it or we provide a new notice and obtain consent where required.

Recipients, operators, and cross-border processing

We disclose only the information reasonably required for the service. Recipient categories can include payment providers, banks and finance providers; couriers and collection partners; hosting, cloud, security, email, communications, analytics, advertising, stock, accounting, and technical-support providers; professional advisers; regulators, courts, and law-enforcement bodies where legally required; and a purchaser or successor in a lawful business transaction.

Some operators may process information outside South Africa. MatzoTech will use an applicable POPIA section 72 safeguard, such as an adequate law, binding agreement, consent, or a transfer necessary to perform your contract. You may request further information about relevant recipient categories and safeguards.

Cookies, analytics, and direct marketing

Necessary cookies keep the site, security, cart, checkout, and account functions working. Optional analytics and advertising technologies are denied until you select “Accept optional cookies”. Selecting “Necessary only” does not prevent you from shopping. You can reopen Privacy choices from the footer and withdraw consent at any time.

Electronic direct marketing is sent only where POPIA permits it. Marketing consent is separate from ordering and service messages, is not preselected, and can be withdrawn through the unsubscribe facility or your account communication preferences. Each marketing message will identify the sender and provide a way to stop future messages.

Retention and security

We retain personal information only for as long as needed for the stated purpose, an active account or service, warranty and dispute handling, fraud prevention, and applicable tax, accounting, consumer, employment, or other legal periods. Information is then deleted, destroyed, or de-identified unless lawful retention is required.

MatzoTech applies reasonable technical and organisational safeguards proportionate to the information and risks, including access controls, authentication, secure transmission, backups, monitoring, updates, confidentiality duties, and operator requirements. No online system is risk-free. If a reportable security compromise occurs, MatzoTech will notify the Information Regulator and affected data subjects as soon as reasonably possible, subject to POPIA.

Your POPIA rights

After appropriate identity verification, and subject to lawful limitations, you may:

  • ask whether MatzoTech holds personal information about you and request access to it;
  • request correction or deletion of inaccurate, irrelevant, excessive, outdated, incomplete, misleading, unlawfully obtained, or no-longer-authorised information;
  • object, on reasonable grounds, to processing based on legitimate interests, and object at any time to direct marketing;
  • withdraw consent without affecting processing that was lawful before withdrawal;
  • ask about recipients or categories of recipients who have had access to your information; and
  • complain to the Information Regulator or institute civil proceedings where POPIA permits.

Send a clear request and adequate proof of identity to onlineshop@matzotech.com. Access-to-record procedures and applicable forms are described in the MatzoTech PAIA Manual. We will not request more identity information than reasonably needed to verify the request.

Related policies and changes

This notice should be read with the Terms & Conditions, Privacy Policy, and Cookie Policy. If a policy conflicts with a mandatory legal requirement, the legal requirement prevails.

We may update this notice when our processing, service providers, or legal duties change. Material changes will be brought to your attention by an appropriate website, account, or direct notice. The current revision date appears at the top of this page.
